With Box, there are two primary ways to share content with colleagues and other associates: 1) by sending shared links, or 2) by inviting existing Box users to folders.

When should I invite someone in as a collaborator versus send them a shared link?

The majority of the time, you should be sending a Shared link (People with the link).

Shared link: Send someone a shared link to a folder or file if you merely need to provide quick, read-only access (much in the way you'd send an email attachment). Your recipient can continue to reference that link for the most up-to-date version of the content. 

To obtion the Shared link, click 'Share this Folder' or 'Share'. A unique URL will be generated. Copy and paste the link in a email to distribute.

  • Please note: When sharing with outside vendors or non-Box users, use the access type of 'People with the link'

Collaborator: Invite someone into a folder as a collaborator if you're working with them on an ongoing basis, and they need persistent access to the content you're sharing. Collaborators should be existing Box users at SF Opera. Please email the HelpDesk if you need assistance adding a collaborator.
